Area Report for Board of Trustees

Auxiliary Services (Conference Services & Bookstore) – Identify opportunities to enhance revenue:

  • The Bookstore has been working with publishers to procure more e-books to reduce inventory costs.
  • The Department is continuing to explore inexpensive, grab-and-go type food options for students through Costco Business.

Budget, Grant, & Procurement Services – Manage institutional budget effectively and efficiently:

  • The Department is preparing for year-end processes. Year-end deadlines are being communicated with the campus community to ensure prompt processing of requisitions, P-cards, encumbrances, and other business matters.  Long-lead procurements, including furniture, for example, are required to be submitted by April 5th.
  • The Department’s website has been updated to improve usability as well as functionality. This will be an on-going process to reflect campus community feedback.
  • Procurement Services conducted two successful mini P-card audits through the end of March 2024. All P-card transactions are reconciled and posted as of March 2024.
  • Marco Lopez is taking the lead of the Budget Advisory Council (BAC) for the FY2025 budget planning process. BAC is currently drafting the criteria for evaluating budget requests.
  • Marco Lopez was also invited to present at Community College Business Officers association about technology changes impacting Higher Education institutions.

Facilities – Create accessible, fiscally & environmentally sustainable, and productive work & learning environment:

  • The Facilities team is working with Student Services and Academic Affairs reps for a spatial planning for the Welcome Center for Student Success. We hope to complete a preliminary draft in early June 2024.
  • Despite our best efforts, the opening of College Way accessing our new main entrance has been delayed until further notice. While the project is completed, Sound Transit is still in construction for the light rail station across Pacific Highway South.  The intersection fronting College Way as a result is still being impacted.

Finance – Manage and safeguard institutional resources and assets:

  • The FY2023 financial statements have been submitted for the next round of state audit. This is to ensure of meeting our accreditation and other regulatory deadline requirements.
  • The Department is reviewing our records to re-instate the debt-collection process (which has been suspended since the COVID pandemic).

Public Safety – Serve as an educational partner by enhancing community awareness for crime prevention:

  • Public Safety has rolled out the steering wheel lock program targeting Kia and Hyundai vehicle owners to reduce motor vehicle thefts on campus. The flyers are distributed specifically to at-risk vehicles. Owners may purchase the steering wheel lock for $5 from Public Safety.
  • The steering wheel lock program is supported by financial contributions from HC Foundation Office.

Public Safety – Engage internal and external communities to support maintaining a safe and secure working and learning environment at Highline College:

  • David Menke attended a meeting on April 10th of the Des Moines Police Advisory Committee to discuss overview of crime and statistics. There was a discussion on how DMPD responds/prioritizes calls for services and their efforts for community engagement. The meeting also provided legal updates and changes to I-2113 to allow police pursuits of suspects with reasonable suspicion.
