Area Report for Administrative Services

Vice President for Board of Trustees

  • As part of the responsibilities for the Vice President for Administration, I have continued to participate and serve on the Tenure Review Committee. The Committee has been extremely busy this month in evaluating 27 probationers including several in the final quarter.
  • The Policy Development Council is in the process of recommending the following policies for adoption: Service Animals, Facility Use, and Travel Reimbursement for Trustees.
  • The Second Quarter Financial Report (July 1st through December 31, 2019) is being submitted this month to the Board for review.
    Facilities
  • Facilities will be working a plan to replace and upgrade most of the campus fire alarm system in the next few months. The State Board has provided the College with approximately $180K in matching funding for the project.
  • Facilities conducted one day of inclement weather operations on January 14th which involved the plant, maintenance and ground crew.
  • Finishing touches have been put on Building 26 including a completed elevator service inspection, successful air barrier test, and the access control matrix has been set and programmed.
  • Facilities Team has been assisting with the tenant improvement project in Campus View First Floor. The project is currently in the rough-in electrical, mechanical systems, and access control phase.
  • Ana Mijares has been hired as the day lead custodian.

Finance & Budget

  • The Finance and Budget staff has been busy with the BPFG (Business Process Fit Gap) sessions. Several of the sessions that were scheduled for February have been moved to April to let the SBCTC team concentrate on the DG3 go-live March dates. The team has completed the general ledger coding homework, an extremely critical part of the ctcLink project as relating budget account numbers.
  • Members of the Finance and Budget team are attending BAR this week (Budget, Accounting, and Reporting) and part of the agenda was a panel comprised of DG2 and DG3 participants. Their presentation was a positive experience and the team is optimistic but realizes that there a lot of work ahead.
  • Once again, we have completed another successful financial statement audit. The audit exit conference was scheduled for February 6th with Trustee Fred Mendoza in attendance.
  • Cathy Cartwright attended the NACUB conference to gain knowledge necessary to be successful in the annual audit process, to network with other college accounting professionals, and to hear best practices in the field.

Public Safety and Emergency Management

  • Public Safety hosted a Campus View Safety Night with residence of the residence hall on Tuesday, January 28, 2020. The purpose of the evening was to meet residents and discuss personal safety and crime prevention. Topics discussed were safety escorts, crime prevention, overnight parking, public transportation, building security and personal safety.
  • Public Safety is currently working with ITS to transition the electronic access control program to maintain all access control within the department.
  • Currently a Customer Service Specialist 3 is open for applicants. Access control is within the job function. The expected transition of training and taking over most functions should be complete by Winter Quarter.
